Outlook Email Signature Backup: Backing Up and Migrating Your Signatures

One of the most common complaints after a machine rebuild is that a user’s Outlook email signature is missing — and it’s an easy thing for first-line techs to forget, even when USMT is supposed to be handling profile migration. Here’s a quick manual way to back up and restore signatures independently of a full USMT migration.

Backing up before the rebuild

Before the machine is wiped or reimaged, copy the entire contents of this folder from the user’s profile:

%APPDATA%\Microsoft\Signatures

This folder contains the HTML, RTF, and TXT versions of every signature the user has set up, plus any embedded images the signatures reference — make sure you copy everything, including any subfolders, not just the top-level files. Save this copy to the network or an external drive alongside whatever other backup you’re taking.

Restoring after the rebuild

1. Rebuild the machine and set up the user’s Outlook profile as normal — this step matters, as the Signatures folder needs to already exist under the new profile before you restore into it.
2. Navigate back to %APPDATA%\Microsoft\Signatures on the rebuilt machine.
3. Copy the backed-up files and folders back into that location, overwriting or merging as needed.

Open Outlook and the user’s signatures should be available again under File > Options > Mail > Signatures, exactly as they were before the rebuild — no need to recreate them from scratch.

If you’re doing this often enough that it’s worth automating, this same folder copy can be scripted as an extra step alongside (or instead of) USMT, or wrapped into a login script that restores from a network backup location automatically.
